Username and password are set on the customer card. The portal is separate from staff sign-in and opens only partner screens; the password is changed on first login.

02The rules
Looks open, limits are yours.
The partner portal is a restricted entry screen. Every limit is enforced on the server; whatever the partner screen shows, the decision sits in your settings.

The partner doesn’t pick the status
There is no status field on the partner screen. The server stamps the record: Optional if auto-approve is on, Pending approval if it is off.

Extras are visible, prices locked
A partner can add extra services to a booking but cannot change their price. The office’s definition sets it.

Edit and cancel until N hours before the tour
The window is a business setting, 24 hours by default. Once it passes, the record is locked for the partner.

A capacity threshold closes partner sales
When occupancy reaches the threshold the business sets, partners can no longer open new bookings.

Tied to the tour’s sales window
If the sales window is closed or the date is paused for sale, partners can’t book either. The sales calendar is the single source of truth.

Only their own records
A partner sees the reservations, statement and reports of their own account only; they cannot reach another partner’s or staff screens.
03Portal screens
Four screens, all of them on a phone too.
The portal is a web app designed around the phone screen; a bottom bar switches between the four screens. Light and dark themes are supported.
Every record in one list
Filter by date range and status; each row comes with reservation number, contact, guest count, amount and status. Tap a row to open the details.

A restricted but complete form
Enter tour, date, package, adult/child/infant counts, extras, contact person, room and voucher number, guest names and pickup/drop-off points.

Everything awaiting approval, in one list.
When auto-approve is off, partner records are created as “Pending approval” and collected on the Partner Requests screen. Approving makes the reservation Guaranteed; rejecting cancels it.

- An approved record enters collection and day-end flows like any reservation

05Pricing logic
Not the partner, but three layers set the price.
When a booking is saved the price resolver looks in order: first a date-ranged interim price, then the partner’s agreement price, then the standard price. The first match wins.
Inside the campaign dates the interim price wins; agreement and standard prices are never consulted.
With no interim price, the partner’s agreement price applies.
With neither, the standard price is used.

What can partners (agencies and hotels) see and change?
In the partner portal they enter their own reservations and see their statement and reports. They cannot change prices; they can edit and cancel up to a set time before the tour (your setting). When the capacity threshold is reached, partner sales close and requests can go to office approval.
How do I give a partner their login?
Username and password are set on the partner’s customer card. The partner changes the password on first login; the portal is separate from staff sign-in.
Is a partner booking confirmed immediately?
No. Partners cannot choose a status; based on the business’s auto-approve setting the server opens the record as Optional or Pending approval. You make pending ones Guaranteed or reject them on the Partner Requests screen.
Can partners use it on mobile?
The portal is a web app designed around the phone screen and opens in a browser. There is no separate partner app.
